When you use the services of the VOChuys, we need to record some of your personal data. It is our policy to handle your personal data with the utmost care and transparency. In this privacy statement we want to let you know for what purposes and in what way we process your personal data. This privacy statement applies to all personal data we process when you make a booking with us, use our services, visit our website or when we are in contact with you.

This privacy statement was last amended on 23 May 2018 and replaces all previous versions of this privacy statement.

Who are we?
The VOChuys is located at Breedstraat 162, 1601 KG Enkhuizen, the Netherlands.

What data do we collect from you and why?
We mainly process your personal data in order to handle your reservation.

Making a booking
When you make a booking, we always record the details we need to make the accommodation available to you. We rent out the accommodation ourselves, but it is also offered by our partners. If you make a booking through one of our partners, this privacy statement applies just the same.

Booking details
Booking details are details about the holiday you have booked with us, for example arrival date, departure date, travelling party and preferences. To arrange your booking, we record these details in our reservation system.

We need your name and address details to record your booking in our reservation system and in the legally required guest register, but also, for example, to meet our obligation to file the tourist tax return. If we cannot send certain things to you by email, we will send them by post to the address you have provided.

You will receive the confirmation of your booking at the email address you have provided. If we have any questions shortly before your stay, we will call you.

Bookings can only be made by persons over the age of 21. By providing your date of birth, we can check whether you are entitled to make a booking.

You can pay for your booking by bank transfer. A deposit will be charged with your reservation. We record your bank account number solely for refunding the deposit. We will not and cannot ever debit any amount from your account.

If you contact us via the contact form on the website, your title, name and contact details are recorded. The same applies if you send us an email. Recording these details is necessary in order to communicate with you. It also enables us to answer your question quickly and efficiently and to look up your details.

When you contact us, you may be asked a number of security questions to make sure your details do not end up with someone else.

When you use our website, we automatically store certain information. This may include the URL you came from, the URL you go to, which browser you use, your IP address and the date and time you accessed our website. We also collect data about the software and internet browser you use. We use this information for the normal use and management of our website and may release this information in aggregated form. Aggregation makes it impossible to trace the data back to a particular user. We are not interested in data that says anything about the identity of the visitors to our site. The VOChuys is interested in information about the use of the site, such as: how many visitors do we get? What are the busy hours and which pages are visited most?

Sometimes we do not receive data directly from you, but from another party. For example, if you make a booking through one of our partners, that partner forwards certain details of yours to us. This allows us to record and handle your booking. Questions or changes regarding your booking or stay may also be passed on to us by our partners. Where reasonably possible, we will inform you that we have received your details.

All information we receive from third parties may be combined with information you have provided.

When processing your personal data, we comply with the rules of the General Data Protection Regulation (GDPR). There is therefore always a legal basis for processing your personal data. Your data is mainly processed when you make a booking. We need this data to perform the agreement between you and the VOChuys. If you do not provide us with the required personal data, you cannot use our services.

Processing some of your data is also necessary to comply with a legal obligation. For example, we are legally required to record some of your details in the guest register.

Should we wish to know more about you, we will always ask for your consent.

To which parties do we pass on your personal data?
We are required to record your name, place of residence and arrival and departure dates in the guest register. The municipality may ask us to provide the data from the guest register. We also provide this data in connection with the mandatory tourist tax return.

For managing our systems and providing our services, we use the services of third parties, such as IT suppliers. We make sure that these third parties handle your data properly, if and insofar as they have access to it.

If you unexpectedly fail to pay your invoices on time, we will have to hand over the claim to a debt collection agency or a bailiff. The data needed to collect the claim from you will be passed on to the debt collection agency or bailiff.

How long do we keep your data?
We do not keep your data longer than necessary to achieve the purposes set out in this privacy statement, unless we are required by law to keep the data longer.

Our aim is to build a lasting relationship with you. Your data is anonymised as soon as this relationship ends.

Telephone conversations are never recorded.

How is your personal data secured?
The VOChuys has taken technical and organisational security measures to protect your data against loss or unlawful use, such as unauthorised access to data. In doing so, we have taken into account the state of the art and the costs of implementation, so that we guarantee an appropriate level of security in view of the risks posed by the processing and the nature of the data to be protected. Our policy is that only those staff who actually need access to your personal data for their work have access to it.

What are your rights?
Right of access, rectification, restriction and erasure

If your personal data is processed by the VOChuys, you have the right to receive a copy of the data collected about you. You also have the right to receive your data in a structured, commonly used and machine-readable format. You can send a request for this to the email address info@vochuys.nl. You can also send your request in writing to VOChuys, c/o Hobbemalaan 182, 1816 GH Alkmaar, the Netherlands. The VOChuys will respond to your request within one month.

If the copy shows that your data is incorrect or incomplete, or in your opinion, given the purpose of the registration, does not belong in the VOChuys database, you can ask for the data to be corrected, deleted or restricted. You also have the right to object to the processing of your data. You can use the email or postal address above for such requests as well.

If you ask us to change or delete data that is necessary for the performance of the agreement, this may mean that you can no longer use our services.

Right to withdraw consent
If you have given consent for the processing of your personal data, you have the right to withdraw your consent at any time. We will then no longer process your data that is processed on the basis of your consent.

Complaints
If you have a complaint about the way we handle your personal data, you can let us know by sending us an email (info@vochuys.nl) or a letter (VOChuys, c/o Hobbemalaan 182, 1816 GH Alkmaar, the Netherlands). We will do our best to resolve your complaint. You also have the right to lodge a complaint with the national supervisory authority, the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
